Requirements for Importing IT Equipment into the UK

The UK is a net importer of IT equipment, machinery, and parts with a streamlined regulatory framework for foreign importers.

However, the various import requirements that must be met challenge foreign importers, requiring a UK-based importer of record like Blackthorne.

Let’s discuss the key import requirements for tech equipment and why you need a UK IOR for a timely and compliant shipment.

4 IT Equipment Import Requirements in the UK

Here are the four essential requirements to fulfill when importing IT equipment into the UK:

1. Equipment Marking

IT equipment that you are importing into the UK must bear the UKCA mark to demonstrate compliance with the Electrical Equipment (Safety) Regulations.

For the mark to be considered correct, it must comply with the UKCA marking rules.

2. Compliance Documentation

Two main compliance documents are required at the border:

  • Technical file: Detailed information about your equipment, including test reports, design specifications, risk assessments, and standards applied to the equipment.
  • Declaration of Conformity: issued by the manufacturer or your authorised representative in the UK, confirming your products meet relevant safety regulations.

Note: Documentation must be kept for at least 10 years to facilitate post-delivery audits by Market Surveillance Authorities

3. Customs Requirements

In addition to the import and export documentation, you must meet the following customs requirements to facilitate customs clearance:

  • Customs declaration: A legal document detailing the content and value of your equipment, including country of origin and destination, means of transport and costs, currencies and valuation methods, and customs procedure code.
  • EORI number: If importing into England, Wales, and Scotland, your EORI number should start with GB. And if into Northern Ireland, it should begin with XI.
  • Import duties and VAT: To calculate VAT payable and applicable preferential duties, you must provide proof of origin, ensure goods meet the rules of origin, and assign the right commodity code for your equipment

 4. Warnings and Instructions

For safe usage of your equipment, warnings and instructions must be:

  • Indicated clearly on the equipment (and accompanying manual)
  • Product-specific, addressing factors such as age restrictions, assembly instructions, safety precautions, and guidelines for use by differently abled persons.
